There are two ways to import one or many PowerPoint files into the Library.
Video file formats supported by PPTshare Desktop
PPTshare Desktop supports the same video files as PowerPoint.
They are:
.WMV, MPG, MPEG, AVI, MP4
What is a library?
A library is a group of PowerPoints and videos, usually about the same subject matter, that are stored in the same folder. You can create as many libraries as you want, adding and deleting individual PowerPoints and videos as you deem appropriate.
Make a new library
When you make a new library, you are simply creating a new folder for a group of PowerPoints and videos
- Go to File>>New Library
- By default, a browser window will open to
My Documents>>My PPTshare folder
- You can create a new library within the My PPTshare folder, or browse to any location on you desire. Choose your location.
- Input the library name in File Name window.
Library and File Location
The library is a .PPTshare file with an associated folder containing your PowerPoints and videos. Its default location is in:
My Documents>>My PPTshare / default.PPTshare. Within the My PPTshare folder, you will see sub-folders named for libraries that you have created. The PowerPoint and videos are located within their respective library folder.
Opening a Library
Opening or accessing a library is similar to opening a folder.
- Go to File>>Open Library
- By default, a browser window will open to My Documents>>My PPTshare folder. But you can browse anywhere on your hard-drive or network.
- Locate and select the Library folder by clicking on it. It will then appear in the File Name Window. Click Okay.
- The PPTshare Desktop task windows populate with the files stored within that library.
Saving your work, saving a Library
Saving a Library saves all of the edits you have made to all of the individual PowerPoints and videos within that Library.
Before you close out of the PPTshare Desktop, a window will prompt you to save your changes, just like any other document.
You can also actively save your changes as you go, just like any other document.

Searching for PowerPoint files
You can browse through folders and search for PowerPoint files from PPTshare Desktop. To initiate a search:
- Go to File>>Search for PPTs. A browser window will open with a view to your desktop and network folders.
- Select a folder, click Okay.
- A second window will appear, Search for PowerPoints, that will list the PowerPoint files within your selected folder.
- You can select one, several or all of the PowerPoint files within the folder. Just check the box next to each PowerPoint you wish to import. If you wish to import all of the files, can click the “Select All” button.
- When you have selected your files, click Import to begin the importing process.
Sharing Presentations
When you share a presentation through PPTshare, you are posting your file to a secure server and sending a link to that file for your recipient to download. This reduces congestion in e-mail and over network servers.
To share a PowerPoint file:
- First, select the PPT file you wish to share.
- Then, there are three easy ways to initiate a share. The results are the same, so use whichever method is easiest for you.
a. Click the Share button on the ribbon.
or
b. Right click on the file name, and select Share from the drop down window
or
c. Tools>>Share Online

A SharePPT Window will prompt you to input your name, title of the presentation, and confirm the file to be uploaded. The presentation title will default to the file name unless you change it.

Click Share and your files will upload.

The PPTshare Transfer Manager window will open, so you can track and view the uploading progress.

When your file has uploaded successfully, you can send the link to your intended recipient or view the launch link.
- Send a link, click Copy Link, and paste it (Ctrl +V or Edit>>Paste) into an e-mail. Show launch button on window
- View the Launch Link. To preview the launch page, so you can review the download page, click Launch Link, and the web page, from where your recipients will download the PowerPoint and videos, will open.
Reviewing a history of shared presentation
PPTshare records the presentations that you have shared, so you can review and reuse them in the future. You can launch the web page, copy the link, or simply review a list of uploaded files,
- Go to View>>Share History, and the Share History window will open.
- The Share History window will let you review a list of uploaded files, launch the page and copy the link.
Creating a new PowerPoint from files in your Library
The PPTshare Desktop consolidates and organizes your PowerPoint files, so you can easily re-use them in the future.
To create a new PowerPoint:
- Click on an existing PowerPoint from the PPT File Library in task bar. You will see the slides populate in the viewer window.
- Choose a slide.
- Drag and drop the slide over the icon “Drag and Drop Slides Here” in the slide show view.
- Repeat process with another slide and/or another PowerPoint file, until your slide show is complete.
- Save as, and name your new PowerPoint file.
Re-ordering slides
You can reorder your slide show by dragging and dropping your slide into a different position within the slide show view.
- Click-and-hold the slide you wish to move.
- Drag it to its new location in your new PowerPoint file
